Plant visit agenda
How to prepare a factory visit: order-related questions, a confirmation map, and a completed training agenda for the visit. Technical conclusions remain a separate task.
How to use
- Agree on the purpose of the visit, route, and participants from production.
- For each section, specify the question and the permissible way to record the answer.
- Conclude the visit with a list of what has been confirmed, open issues, and next actions.
Result: Visit agenda, confirmation map, and unresolved questions.

Completed visit training program
In this exercise, a buyer prepares a meeting about a batch of parts made to drawing D-17, revision 3. The buyer needs to check two specifications against the drawing and discuss the coating work with a subcontractor.
| Time | Participants by role | Question | What to ask to be shown | How to record the result |
|---|---|---|---|---|
| 09:00–09:20 | Coordinators of both parties | Do we understand the subject matter and the wording in the same way? | Approved set D-17, rev. 3 | Version confirmed / discrepancy and action |
| 09:20–10:00 | Production function; technical representative of the customer | Where are the required operations performed? | Route from material to finished part | Internal and external stages, access restrictions |
| 10:00–10:35 | Quality; technical representative of the customer | How are two selected parameters checked? | Approved method and available anonymized sample record | What relates to our assignment; what has not yet been checked |
| 10:35–11:00 | Responsible for external work | How are coating requirements conveyed and how is the result accepted? | Procedure for transferring tasks and records | Confirmed information / request to the contractor required |
| 11:00–11:20 | Quality and logistics | How are material, manufacturing, inspection, and shipment linked? | Acceptable example of marking and documents | Traced section / discrepancy and clarification |
| 11:20–11:45 | Participants with authority | What questions remain open? | List of questions and actions | Responsible person, material, deadline, rechecking method |
There is no need to invite a person with a specific job title to the meeting just for the title. What is needed is a representative with competence in the issue being reviewed; who that will be is determined by the parties. If there is no such participant, the technical conclusion remains open.
For each item, note separately: “description received,” “object seen,” “record verified,” “adequacy of confirmation still under assessment.” The fact of a demonstration does not equal a positive conclusion. In conclusion, agree on the list of missing materials, rather than the general phrase “production verified”.
